Proposal #1:  Recognition of BBB Donors

BACKGROUND:

During our PISMO Conference last January 26, 2008, one of the agenda taken up was the possible recognition of Brothers who directly contribute money to the UPBSFI vision and mission over and above the annual fee of $25. Specific example given was the Big Brothers Bounty which encouraged donors to support a scholarship program for Los Banos Brods in the amount of fifty dollars ($50).

RECOMMENDATION:

In this regard, I would like to submit for BOD approval the following recommendations:

Starting Calendar Year 2009, all contributors to BBB donors during the previous year, and in the immediate case, the period January 1, 2008 up to December 31, 2008 shall pay reduced annual fees in the amount of $20.00.

OPERATING GUIDELINES:

1.  The Treasurer of BBB shall submit to the Treasurers of UPBSFI, Inc. namely: (a) Brod Edsel Arceo and Brod Raffy Hidalgo, a list of BBB donors who have donated at least $20 to BBB Scholarship for the period January 1 to December 31 of every year. This list shall serve as official basis for determining whether a BBB donor is entitled to the $20 reduced amount.

2.  Appropriate crediting shall be done for any BBB donor who paid UPBSFI fees beyond Calendar Year 2009, and that crediting shall be made on a year-to-year basis. For instance, if a BBB donor has already paid up to 2010, a $5 credit will be made to his account for the year 2009. If the BBB Treasurer's List will again show that the same brod donated at least $20 for Year 2009 to BBB, then he shall be credited another $5 for Year 2010.

3. The BBB Treasurer shall, for purposes of this recognition system, be ready to present relevant documents before the UPBSFI Auditor.

4. This new payment system for BBB donors shall be reviewed after Calendar Year 2009 as to the effectiveness of this policy including, but not limited to, the possibility of further reducing the amount and/or applicability with regards to our other partners-in-mission.

Proposal #2: Assigning Local Treasurers for UP-Mindanao and UP-Visayas

BACKGROUND:

Under the leadership of Brod Anggie Angliongto in Mindanao and the coordinative efforts Brod Shan Buyco in the Visayas, the UPBSFI has recently went into partnership in pursuing our vision to make our UP Beta Sigma Fraternity known in these two campuses. In the case of UP Mindanao, Brod Anggie and other UP Mindanao brods have bonded together to hold a Freshman Party with the view of recruiting the students to UP Beta Sigma (and Sigma Beta) during their sophomore year. In the case of UP Visayas, the UPBSFI has partnered into what is now known as the award-winning Centennial Forest Project. An increased resident membership in UP Visayas will also translate in more hands maintaining the Centennial Forest, thereby increasing probability of the project’s success.  For this year alone, our resident membership in that campus increase from two to seven.

OBJECTIVES:

1. To provide means to sustain our recruitment efforts and grow our resident membership in both the UP Visayas and Mindanao campuses.

2. To involve as many UP alumni brods in Visayas and Mindanao in this endeavor, while localizing financial responsibility and accountability.

RECOMMENDATION:

To assign local treasurers in both of these UP campuses and shall be empowered to collect an equivalent amount of $25 per annum as UPBSFI membership fee, the monies of which will remain in their respective local coffers, and to be spent to pursue our growing efforts in their respective campuses as approved by the Board of Directors.

FINANCIAL ACCOUNTABILITY:

Accountability using our F.R.A.T.* system (*click to review) shall likewise be applied at the local level, including the use of email and scanned documents for audit purposes.
